Checklist for Completing and Submitting an Academic Program Review


 

(All dates except the May 1 and August 15 deadlines are suggested and may be adjusted with the concurrence of your dean.)

      By April 1 , the Assessment Director sends you a reminder about  your upcoming program review.
By May 1, the Assessment Director and your dean meet with you to review the program review process.
By June 1 , identify three potential external reviewers, confirm their willingness to serve, and submit their credentials to your dean.
By July 1 , the dean notifies you of his/her choice for external reviewer.
By September 30 , design your program review process:

  • Identify the faculty members who will work on the review.

  • Develop a calendar to ensure that the review is completed on schedule and submit it to your dean and the Assessment Director.

  • Identify what information you need and how you will obtain it.

  • Schedule the external reviewer’s visit and complete necessary paperwork. (See Checklist for bringing an external reviewer to campus for more information.)

      By the end of the Fall semester, obtain and analyze information and draft the program review report. To ensure that the vision developed during the program review process is feasible, keep your dean informed of your work and thinking throughout the program review process.
In January , send the draft program review report and any other appropriate materials to the external reviewer.
In February, host the external reviewer’s visit.
In March, receive the external reviewer’s written report.
In March, finalize the program review report (self-study) and draft the two-page summary report to be submitted to the Chancellor’s Office.
By April 1,
submit all program review materials (program review report, external reviewer’s report, two-page summary report, and signature form) to your dean for review and signature.
By May 1, submit all program review materials (program review report, external reviewer’s report, two-page summary report, and signed signature form) to the
Assessment Director .

  • Submit the program review report (self-study) either on paper or as an e-mail attachment.

  • Submit the external reviewer’s report either on paper or as an e-mail attachment.

  • Submit the two-page summary report as an e-mail attachment.

  • Submit the signed signature page on paper or via fax (ext. 4-6330).

      In May and June, the Assessment Director reviews all program review materials for compliance with USM guidelines, contacting the dean, chair, director, or coordinator for information or clarification if needed.  The Director then submits the Board of Regents summary report and signature form to the Provost for review and signature.
By August 15, the Assessment Director submits the two-page summary reports to the USM Office of Academic Affairs as e-mail attachments.
By September 15 , the USM Office of Academic Affairs returns the Board of Regents summary reports to Towson for revision, if necessary.
By October 15, the  Assessment Director revises the Board of Regents summary reports, in consultation with the provost, dean, chair, director, or coordinator as appropriate, and submits final versions to the USM Office of Academic Affairs.
By every March 1 thereafter, the Assessment Director sends you a template for your brief annual update on the status of your action plan.
By every May 1 thereafter, submit the annual update on your action plan to your dean and the Assessment Director, who will forward a copy to the provost.
